With more than 70 employees, we have the necessary expertise and experience to deliver high-quality applications. And we continue to grow! We are looking for a Sales Administration Assistant for our Finance department.

As a Sales Administration Assistant, you will provide accurate, customer-focused and efficient support for the entire sales process. You will be responsible for order processing, commercial administration and invoicing. You will work closely with sales, logistics, finance, service and production.

You will also be the first point of contact for customers with administrative questions about orders, deliveries and invoices.

Some of your tasks:

1.Order processing & commercial administration

  • Entering, checking and following up on customer orders in the ERP system.

  • Checking prices, discounts and conditions.

  • Preparing order confirmations and following up on quotations.

  • Processing order changes or cancellations.

2. Invoicing & financial administration

  • Timely and correct preparation of sales invoices

  • Checking delivery notes and logistics documents

  • Creating credit notes

  • Taking care of periodic and contractual invoicing

  • Submitting invoicing data to accounting

3. Customer management & communication

  • You are the SPOC for customers

  • Updating customer data, price agreements and conditions

  • Proactively informing in case of delays or deviations

4. Collaboration with planning, logistics and finance

  • Coordinating deliveries and availability

  • Providing input on payment terms and outstanding items

  • Reporting order status and deviations

5. Document management & reporting

  • Drawing up and managing commercial documents (delivery notes, export documents, certificates, etc.)

  • Digitally archiving sales and invoicing documents

  • Supporting sales reporting and analyses

6. Monitoring data quality and supporting process improvement

Job requirements

Our ideal candidate will ideally have a degree in administration, accounting or commerce, or equivalent experience.

Experience in sales administration or invoicing is a plus. We also value the following skills for this position:

  • Accurate, detail-oriented and quality-conscious

  • Strong customer-focused communication style

  • Stress-resistant and flexible when it comes to deadlines

  • Strong organisational skills and good at setting priorities

  • Team player with problem-solving skills

  • Knowledge of sales administration and invoicing processes

  • Experience with ERP systems (order processing, invoicing, customer data)

  • Insight into commercial and logistical document flows

  • Strong digital skills and proficient with administrative IT tools

  • Languages: Dutch + good knowledge of French and English
